doQuments is a user-friendly document management software for Windows that enables organizing and searching paper and electronic documents in a centralized database. Three editions are available.
As a software reviewer, I had the opportunity to test and review doQuments, a document management application designed for Windows users. I found the software to be very user-friendly and intuitive in terms of creating a centralized searchable database of both paper and electronic documents.
The process of building the database is quite simple - documents can be scanned using a scanner or even dragged and dropped from Windows Explorer. What I found particularly useful was the ability to store additional indexing information with each document which could be later used to search for or group documents based on custom criteria.
doQuments comes with powerful tools that allow users to add a large number of documents to the database quickly, making it an ideal application for businesses of all sizes. The software supports over 50 different file formats and is TWAIN compliant, which means that scanned documents can be uploaded directly to the application. In addition, scanners with an Automatic Document Feeder (ADF) attachment are also fully supported.
What sets doQuments apart from other document management applications is its unique design which allows for easy handling of double-sided and multi-page documents. Users can create multi-page TIFF files by either scanning in their multi-page paper documents or by combining existing image files. The batch addition tools also make it easy to find documents that match a specific criteria and add them to the database in one go.
The search and query tools are very easy to use and make finding and grouping documents a breeze. The reusable parameterized queries are particularly useful, as they allow for documents to be retrieved with just one click. The software also allows for sorting of documents according to the data stored along with them.
The Thumbnail Viewer is a great feature that allows users to view documents as resizable thumbnails, providing an easy way to visually locate documents. doQuments also makes it easy to email documents with a single click.
The software comes in three different editions - Standard, Professional, and Enterprise - with features of all three editions included in the evaluation version. In addition, the software allows for databases to be MS Access based or MS SQL Server based, and comes with powerful security features that allow for document access to be controlled on a per-user basis.
