I recently had the opportunity to test out a tool that can be extremely helpful for organizations that receive donations. This software allows for the maintenance of a detailed ledger of donations, which can then be used to generate a summary to enter into your accounting software. The best part? You can accomplish all of this by using various Budgets and Accounts.
Budgets and Accounts were very easy to set up. Once you enter the names of your preferred budgets and income accounts, they'll appear in drop-down lists on each donation sheet and in reports. The software makes the process even easier by allowing you to use the same Budget and Account names that are in your accounting software (like MYOB or Reckon).
Donation Sheets is another feature of the software that make the process of recording each donation a breeze. Each sheet lets you capture the name of the donor, the donation method, and the amount donated. It also allows you to allocate each donation to a budget and an income account, plus create new sheets. After creating each new sheet, you can name it by processing date, which can then be entered as a single entry with the same date in your accounts software using the summary per sheet report.
All Transactions sheet is a helpful feature to compile the list of all transactions you’ve made into one list. This feature boasts an array of header options that provide the ability to filter and sort the entries to your liking.
Finally, the Summary per Sheet feature allows you to retrieve a summary of each sheet by letting you select which sheet you'd like to see from the drop-down box. The report that follows showcases totals for each Budget and Account used on that sheet. As a user, you can then use this report to enter the budget and account totals into your accounting software with ease.
