"Outlook Category Saver" is a free tool for saving categories from the Outlook Master Category List into a text file in XML format, which can be edited in any text editor like Notepad.
When manually editing categories, you can use a text file or table to restore the master list of categories from the file. But this is a time-consuming and error-prone process, which is inconvenient for large category lists. Fortunately, a free utility is available that allows you to save categories from the Outlook Master Category List to a text file in XML format.
The utility automatically detects the location of the Master Category List in the selected Outlook profile, and you can specify the desired XML file name on your disk or network share and run the utility to export or backup the Master Outlook Categories list. You can also set the option for saving category colors if you need them.
After executing the utility, you will see a report on how many categories were saved and from where. This can be useful when working with large category lists and allows you to add categories from other data sources or use the list in other programs. For automatic category list processing of multiple users, synchronization of category lists between mailboxes and PST data files, and using the utility in your batch files and scripts, you can use the command-line capabilities.
